Help and contact

Answers for institutions, coordinators and officials using FIRMS, plus the escalation route when something is wrong with a record.

Festival helpdesk

Every enquiry is routed to the level that owns the record: institution contact first, then Sub-County coordinator, County coordinator, and finally the National Secretariat. Use the enquiry form below and include an item, result or certificate ID if you have one.

Record disputes and corrections follow the same route — each step is logged with an owner and a recorded resolution.

Frequently asked questions

What is FIRMS?

FIRMS keeps a single traceable record for every institution, participant, instructor, item, result and certificate in the Kenya National Drama and Film Festival, from school level to East Africa. It is an information layer only: it does not replace festival rules, adjudication procedures or authorised decisions.

Who gets an account?

Named individuals only: institution heads or authorised contacts, Sub-County and County coordinators, adjudicators and results officers, certificate officers, ICT administrators, data protection focal persons, and read-only auditors. Accounts are issued by your coordinator or the Secretariat. Shared logins are not allowed.

How does an item reach the National level?

An entry moves up one level at a time — institution, Sub-County, County, Regional (where applicable), National, then East Africa. A move happens only when the required result and an authorised approval are both recorded. Nothing promotes automatically.

A name or result is wrong. What do I do?

Request a correction through your institution contact or coordinator. Corrections are controlled: the original value is kept with the correction history, and the change is logged and reviewed. Approved results are never edited directly — not even by system administrators.

Can I capture data without internet?

Yes. Registration forms, attendance and score capture work offline and sync when a secure connection returns. Sync conflicts are flagged for review — nothing is silently overwritten. Final approvals require a connection. When the system is down entirely, use the printed fallback forms in the downtime procedure, then reconcile.

How do I check a certificate is genuine?

Use the Verify a certificate page and enter the code printed under the seal. You will see only whether it is valid, plus the certificate type, level and year.

What happens when someone's role changes?

Tell your coordinator or the Secretariat immediately — there is a remove-access action for exactly this. Access is also reviewed periodically, and reviews are reported.

Whose data can I see?

Your own institution, Sub-County or County, unless your role is national. Children's data is restricted to authorised festival officials, and never appears on public pages.
