Kenya National Drama and Film Festival · 2026

One traceable record for every festival entry

FIRMS keeps a single traceable record for every institution, participant, instructor, item, result and certificate in the Kenya National Drama and Film Festival, from school level to East Africa. It is an information layer only: it does not replace festival rules, adjudication procedures or authorised decisions.

How a record moves through the festival

Every entry follows the same path, and an entry moves up only when a result and an authorised approval are both on record — nothing promotes automatically.

  1. School / Institution Register the institution, participants, instructors and proposed items; confirm names and eligibility.
  2. Sub-County Validate submissions, check duplicates and required fields, record selection outcomes.
  3. County Receive eligible entries, record results and selections, authorise progression.
  4. Regional Consolidate county entries where applicable, schedule items, capture approved outcomes.
  5. National Confirm qualifying entries, manage programme and venues, record adjudication, awards and certificates.
  6. East Africa Register the authorised Kenyan delegation and link East Africa results back to national records.

Every record has a status

Statuses appear on institutions, participants, items, results and certificates, so anyone can see where a record stands without asking.

  • Draft Being prepared, not yet sent.
  • Sent for review.
  • Verified Checked against requirements.
  • Approved Authorised by the designated official.
  • Returned for correction Sent back with a reason; original value kept.
  • Cancelled Withdrawn; the record stays in the audit trail.

Built for record-keeping, not just forms

  • Unique, non-reusable IDs for institutions, participants, items, results and certificates.
  • A hash-chained audit trail records who did what, when, and why.
  • Corrections keep the original value — nothing is silently overwritten.
  • Certificates are generated only from final approved records.
  • Offline capture with reviewed sync for coordinators on the road.

Who uses FIRMS

Institutions

Heads of institution and authorised contacts register participants, instructors and items, then track status through each level.

Coordinators & officials

Sub-County, County, Regional and National officials verify registers, record results and authorise progression. Data entry and final approval stay separate.

The public

Anyone can check whether a certificate is genuine on the verification page — no account needed, and no personal data is shown.
